How to read this list

Every feature listed here exists in the product — the descriptions come from the same source as the in-app help. Anything that does not exist yet is not on this list.

505 features

Included in every module

These features do not come from a single module but from the platform — they apply everywhere, at no extra cost.

Access & licences

  • One login for everything

Securo ID signs your people in once — for every module you have licensed. Anyone who wants to can also link their Microsoft account under “Sign in with Microsoft”; password and second sign-in step stay in place.

  • Several accounts, one click

Anyone with several Securo accounts switches via “Switch account” without typing the password again — provided “Remember account on this device” was ticked at sign-in. On shared computers, “Sign out of all accounts” ends everything at once.

  • Two-factor & device control

Every user secures their account with a second factor and sees which devices are signed in — unknown sessions can be ended individually.

  • Roles & permissions per module

Permissions are fine-grained: approving hours does not require seeing wages, and a location manager only sees their own locations. Employees need no role at all for their own work — shifts, clocking in, patrols.

  • Role templates & simple editor

Templates such as location management, dispatcher, guard, sales, HR administration, payroll accounting, accounting and site management. In simple mode you pick view, edit or manage per area plus who it applies to; one person can hold several roles.

  • Revoking access takes effect at once

When access is withdrawn it is blocked across all modules within about half a minute — not whenever a token happens to expire. That matters on termination and lost devices.

  • Licensed per module or per employee

You pay only for the modules you use — per user, or as a bundle priced per employee. Bundles count active employees in personnel records, not accounts, and include a share of external subcontractor staff at no extra cost.

  • Storage & quota

How much space your files take up, which module accounts for what share and where your quota sits. From 80 per cent the display warns you — nothing is blocked.

Daily work

  • Command palette

Ctrl/Cmd + K opens search across every page and action. Daily users rarely touch the menu.

  • Dashboard with widgets

Every user assembles their start page from tiles — module shortcuts, key figures, open tasks. Only licensed modules are offered.

  • Several areas at once

Anyone moving between roster, personnel file and invoice keeps them open as tabs side by side instead of reopening each page.

  • Filters that stay put

Filter a list, open a record, go back — and your filter is still there, even in a new tab or the next day. “Reset” on the filter bar puts everything back to the start.

  • Long operations in the background

Printing or sending shift schedules for many people, creating all pay statements of a payroll run, finalising invoices in bulk: it keeps running while you work. The header bar shows progress; results come singly or as a ZIP.

  • Adaptable navigation

Everyone hides what they don't need in the sidebar, drags modules into their own order and pins favourites to the top with the star. On the phone those favourites move into the bottom bar.

  • Light and dark mode

Follows the system setting automatically and can be switched by hand — easy on the eyes at night and in the office.

  • Your own fields

Where the standard fields fall short, define extra fields per record type — no development, no special version.

  • Microsoft 365 connected

Set up once for the organisation, then each person connects themselves: shifts, absences and tasks appear in their own Outlook, appointment booking checks busy times, and emails go out from the CRM — shared mailboxes included.

  • One design for every document

Logo, colours, font, layout and footer are set once under “Document design” — for invoice, quote, credit note, cancellation and reminder alike. Eight layouts to choose from; the footer sits in the same place on every page.

On the move

  • Full scope on mobile

The hub runs on phone and tablet — in the browser or as an app — with its own bottom bar for the pages that matter in the field: clock in, patrol, logbook, my shifts.

  • App for iOS and Android

Securo Hub is on the App Store and Google Play. Tapping a push notification opens the right page, each notification can be set to important, normal or silent, files go out via the share menu — and the app fetches updates itself.

Working across company lines

  • Connect other companies

Link customers and subcontractors as organisations of their own — by their ID or an invitation to an email address. What the other side may see is ticked off item by item and can be withdrawn at any time.

  • Customer portal for clients

Your client gets an access of their own: roster, incidents and patrols, invoices showing the open remainder after part payment, contracts, and hours worked per location with premium times — ready to countersign. They see only what you released.

  • Subcontractors work alongside you

A subcontractor switches into your organisation and works there: they name people for the places you ordered, maintain their own staff and see the hours recorded. A coloured banner always tells them whose context they are in.

  • Assignments into their own plan

If your subcontractor runs Securo with an organisation of their own, they take over your assignments into their shift schedule in one click and pull the times recorded with you into their time tracking — approved times are never overwritten.

  • Partner sync for staff

The other way round, the subcontractor passes their people on to you from their own personnel files — per person and per detail, such as security register ID or qualifications. Certificates travel along as a copy; one click syncs changes.

Trust & evidence

  • Hosted in the EU

The hub's servers and file storage sit in data centres in the EU, and development happens in Germany. AI features and voice transmission in Radio & dispatch use specialised providers outside this commitment.

  • GDPR from the ground up

Access requests, deletion and retention periods are built-in functions rather than afterthoughts — including crypto-shredding and legal hold in the evidence modules.

  • Traceable changes

Who changed what and when — logged and exportable. In HR the export is signed and therefore holds up with auditors.

  • Help right on the page

Every page has help in plain language — German and English, without jargon, one F1 away. New staff get going without a training session.

  • Securo Support in the hub

“Open Securo Support” lets you write to the Securo team straight from the hub — with files attached or as a callback request. Your requests and our replies stay collected there.

  • German & English

The entire interface is maintained in both languages. Each user picks their own — and whether names read “Anna Berger” or “Berger, Anna”.

Employee records

  • Employee directory

Everyone in your organisation in one list — with quick filters such as “No Securo account” or “Contract ending”. Your filters stay put, even when you open a profile in between.

  • Export to Excel or CSV

Exactly the filtered list as an Excel workbook or CSV, with columns — your own custom fields included — arranged by drag and drop. Every export is recorded in the change log; bank details, tax ID and social-security number are never offered.

  • Bulk actions

Create Securo accounts, reset passwords, set department or cost centre, put people on hold or end employment — for many at once. You see beforehand how many will really be processed; then it runs with a progress bar.

  • Digital personnel file

Overview, master data, employment, Securo account, documents, qualifications, working time and change log of one person — in tabs instead of folders. Your own custom fields live in the “Custom” tab.

  • On hold, off-boarded, rehired

“Set inactive” for parental leave, “Off-board” on the leaving date, “Rehire” with a new start date — the earlier employment stays in the change log. “Anonymize” removes personal data irreversibly, Securo account included.

  • Securo account from the personnel file

The list shows employment and hub access side by side — “Active / Deactivated” for someone who is back at work but locked out. You restore the access right there in the file.

  • Employee package at a glance

Only active employees count — inactive and off-boarded ones do not. When the package runs low, a notice appears above the list, two seats of buffer remain, and “Increase employee package” takes you straight to the subscription.

  • Master-data requests

Employees request changes to address, phone, name and bank details themselves. You see current versus requested and approve.

  • Org chart

Your structure at a glance: departments with their lead, cost centre and headcount.

  • Org structure, holidays & custom fields

Departments up to ten levels deep, cost centres and holidays in one place — country and state determine the public holidays. Custom fields such as text, date or choice appear in every personnel file.

Absence & leave

  • Leave, sickness & special leave

All absences for your team in calendar, list and approvals: request, filter, edit. When you enter one for someone else with approval rights, “Approve right away” sets it to approved immediately.

  • Absence calendar

Month, quarter or year as a bar chart, with remaining leave next to each name. Days someone does not work anyway are hatched; the row underneath counts how many are away at once and changes colour at your limit.

  • Requests with a live preview

While you fill it in, the request shows the working days with the reasoning (weekend, holidays by name), the leave balance afterwards and who else in the department is away. Half days via “From midday” and “Until midday”.

  • Capacity & blackout periods

Decide how many people may be off at the same time — for the whole organisation or per department, as a warning or a block. No leave can be taken in blackout periods; sick notes are never affected by either.

  • Part-time patterns & weekly hours

A share per weekday — 1, 0.5 or 0. On Mon/Wed/Fri a week off costs three days instead of five, and 30 days of full-time entitlement become 18. Contractual weekly hours set the target for the time account.

  • Leave balances

Entitlement, carry-over, reserved and used days per employee — plus corrections with a mandatory reason. “Prepare the year” sets up next year’s balances, and anyone who falls sick during approved leave gets the days back.

  • Approvals in one list

Absence and master-data requests land in one inbox. Managers decide without clicking through three pages.

  • Self-service for employees

Request leave, see the balance, track requests — on the phone, without paper and without asking the office. If a sick note needs proof, the certificate is photographed right in the request.

  • Absences in your own calendar

Via calendar subscription in Outlook, Apple or Google — or through the Microsoft 365 connection straight into Outlook as a separate “Securo – Absences” calendar. It shows the type, never the reason.

Qualifications & proof

  • Qualification catalogue

Prepared types such as first aid or a driving licence plus your own, each with mandatory fields, default validity and check cycle. The categories “Security & guarding” and “Government clearances” come with the licence “Branche · Sicherheitsdienst (Deutschland)”.

  • Qualifications per employee

Tick several qualifications at once and enter the same issue date with “Apply to all” — each one calculates its expiry from its own validity. The status reads “Valid”, “Expiring soon” or “Expired”.

  • Due checks

Proof that has to be re-presented at intervals — a driving licence, for example — shows up with its date; anything never checked sits in red at the top. A due check stops nobody; blocking is a deliberate decision with a reason.

  • Request proof

Ask one person or many for their driving licence or residence permit — they get a message on their phone. You approve or reject with a reason; the “Undeliverable” tab shows whom the hub could not reach.

  • My proofs on the phone

Employees photograph the requested proof straight from the camera and enter number and expiry date. Only your approval writes the details into the personnel file.

  • ID cards under § 18 BewachV

Design, issue, block and reissue credit-card format ID cards — the preview matches the print exactly. Add-on “ID cards”, requires Securo HR.

  • ID card on the phone

Your own badge full screen, with a QR code for inspections. Whoever scans it lands on a verification page served by Securo — not by the employee’s device — showing validity, issuer and the company’s guard register number.

Recruiting & onboarding

  • Job postings

Drafts, published roles and the archive, with descriptions written in Markdown. On saving, the hub flags equal-treatment pitfalls under German law (AGG), such as a missing (m/f/d) marker in the title.

  • Applications with a pipeline

Every application carries a unique reference and moves through received → screening → interview → offer → hired or rejected. A rejection requires a reason.

  • Your own careers portal

A public careers page in your colours, with your acknowledgement, your privacy notice and your retention period of 1 to 24 months. The job list can be embedded in your own website with a widget.

  • Recruiting metrics

Active roles, applications in the last seven days, ongoing processes and the average time to hire.

  • Personnel form by link

New hires enter their own master data and upload documents through a personal link, valid for 1 to 90 days, without an account of their own. “Check details and create” carries everything pre-filled into the personnel file.

  • Templates, SMS delivery & archive

Per template you decide which fields are required, optional or hidden and which documents are requested. It goes out by email or SMS; “Deactivate and archive” instantly invalidates a link sent to the wrong address.

Payroll documents & social insurance

  • Distribute payslips digitally

Upload the finished payslips from your payroll office as a ZIP or many PDFs at once. Securo matches them by file name and marks each suggestion “Confident”, “Review” or “Ambiguous” — you confirm before uploading.

  • My payslips

Every employee sees their payslips in chronological order and downloads them — months later too.

  • Immediate report & eAU

German social-insurance filings straight from the hub: the immediate report before employment starts and electronic sick-note requests, pre-filled from master data, with the health insurer’s response. The type selection shows how many your quota still allows.

  • Employer numbers & mandates

Register the employer number once and confirm the mandate with the activation code from the letter — after that, filings run.

External workforce

  • Subcontractors as a staffing source

Manage supplier companies with contracts and documents — kept apart from customers, because they supply people rather than buy services. Certificates such as liability insurance carry a “Valid until” date.

  • External workers

People from subcontractors with qualifications and documents — schedulable into shifts, but without an employment relationship with you. Only active ones count, against an allowance that grows with your employee package.

  • Partner sync with subcontractors

If your subcontractor runs Securo too, they share their people from their own personnel files — per person and per field, up to qualifications and proof files. On your side those fields show “Maintained by …” and are locked.

Reporting & self-service

  • My team

The manager's view of directly assigned staff, with key figures and upcoming events.

  • HR reports

Team-health metrics, upcoming birthdays and expiring contracts — filterable and exportable as CSV.

  • Log export with checksum

The HR change log as CSV or JSON Lines, filtered by period, area or employee — for privacy audits and external auditors. Every file carries a SHA-256 checksum that proves later it has not been altered.

  • My documents

Contracts, certificates and letters released by HR — viewable and downloadable at any time.

Workforce

Shift planning, shift marketplace, time tracking and time accounts through to the hours statement for your client — with built-in checks under German working-time law.

Shift planning

  • Drag-and-drop schedule

Create shifts, assign people by dragging or from the suggestion list — several at once —, copy weeks and publish the plan. Five views, from “By employee” to “Calendar”.

  • A plan that reads at a glance

Weekends and public holidays shaded by federal state, each employee's confirmation as a badge on the card, your own colours and a size from 70 to 200 % — your settings apply only to you.

  • Shift in detail

Key data, demand, assignments, briefing, applications and offers, plus the full change history. Punched times are corrected right on the assignment, without leaving the page.

  • Shift templates & series

Define recurring patterns once and generate up to a year of shifts in one go — skipping the location's public holidays if you like. A whole run can be taken back later.

  • Own times within a shift

Shifts carry a name like “Early shift”, a demand can have its own time (“2 stewards, 18:00–22:00”) and each person a different one. That time then counts for the time account, paperwork and billing.

  • Print and send schedules

Up to 150 employees at once: one combined PDF for the notice board, by email per person with a calendar file, or for signature via e-signature — with a live preview, running as a background job.

  • AI plan proposal

The AI proposes who takes which shift for a full week — with a goal such as “Fair distribution” or “Save costs”. A deterministic rule check flags conflicts; you adjust and accept. Requires Workforce Pro and a seat in the AI assistant.

  • On-call duty in the plan

On-call duty sits in the plan as a bar of its own, not as a shift — because it is not working time. A filter hides every shift and leaves only the standby bars.

  • Teams within a shift

Large deployments are broken down: "Gate A", "Gate B", with the shift lead above them. The team hangs on the demand, not on the person — whoever fills the line belongs to it. An org chart shows who reports to whom, phone numbers included.

  • Situation board of the day

A map across every site: who is on duty, where someone is missing, what is open and how the last hour went — looking back up to seven days. For security companies; the page shows and leads you to where things are changed.

Staffing & self-service

  • Shift marketplace

Open shifts are posted — to everyone, only to suitable staff or to an invited group. Staff apply with a short note, and you decide with the suitability badge in view.

  • Ask directly instead of posting

You ask individual people with a deadline and a message; reminders go out manually or automatically. “Maybe” and a decline reason are configurable — and instead of scheduling straight away you can first only collect commitments.

  • Partner assignments

If you work as a subcontractor for a client who also uses Securo, you take over their assignments of your people into your own plan with one click, see what changed and fetch the times punched there.

  • My shifts

On their phone, staff see when and where they are on next — with a route to the right address —, confirm new assignments and start or end the shift. With a look back over the last 30 days.

  • Own schedule as PDF and in Outlook

Staff download their own schedule as a weekly list or monthly calendar — without internal notes and without sickness reasons. With Microsoft 365 the shifts also appear in their own Outlook calendar.

  • Availability

Staff record when they can work, want to work or are unavailable. Planning works with that rather than against it.

Sites & master data

  • Sites in a hierarchy

Branches, guarded properties, event venues and internal units — nestable, so large contracts map cleanly.

  • Location file

Customer, contract term, billing mode and the state that governs holidays, documents with an expiry traffic light, contacts with an escalation chain and the history of every change — in one file, saved once.

  • Several addresses, own clock-in fence

Main entrance, Gate 3, Warehouse South — each address with its own clock-in fence. The hub works out the map position from the address by itself; a site without an address simply gets a point.

  • Required staffing per site

What the site needs, regardless of the plan: per role the number of people, the time window and the weekdays — plus required certificates such as the expert examination and demands such as language, each as mandatory or preferred.

  • Security profile for guarded sites

Service types under DIN 77200-1, risk rating, response time and protection goals — plus what the site calls for: firearm, guard dog, first aider, fire safety watch, alarm and intervention instructions.

  • Location leads

Who is responsible for which location — as Location management, Assistant or with View access, time-limited if needed. A branch covers every location below it; what someone may do comes from their role.

  • Service instructions with acknowledgement

The hub writes the first draft from the site data, a second person approves, and the security officer confirms receipt on their phone — as § 17 (2) BewachV requires. With e-signature, also as a signature.

  • Keys & equipment

Keys, transponders, access cards, radios and codes per person and site — with a return date. Overdue items are reported to the location lead, and staff see under “My keys” what they still have to hand back.

  • Colour-coded roles

Security officer, carer, service — the roles in your business, colour-coded in the plan so gaps stand out.

  • Post templates

Reusable post names like “Fence A” or “Reception” — valid across sites or bound to one property, then assigned with a click.

Time tracking & accounts

  • Clock in on the phone

Clock in and out, record breaks — one big button, built for the field. Without a signal the page remembers the punch and books the time you tapped, not the time it arrived.

  • Punch correction & rounding

Snap early or late punches to the planned time — only within a tolerance window if you prefer — or round to 5, 10 or 15 minutes. The rules only trim, never add time, and the real punch stays visible.

  • Manage time entries

Filter, check, correct and approve all time entries — including times that were never submitted, in one go. Every correction shows its reason with old and new value on the entry; export as CSV.

  • Catch up on missed punches

Scheduled shifts without a punch show as “Not clocked” and can be confirmed as worked — several at once. For people who don't clock in themselves, you record the time for them.

  • My hours

Recorded working time week by week with the week's plus or minus. Depending on your settings, the time goes to approval automatically on clock-out — or staff submit their week themselves.

  • Time accounts

Flexitime and overtime per employee with balance and history — per day with target, actual and credited hours, so a disputed minus hour explains itself. Manual adjustments with Workforce Pro.

  • My time account

Plus and minus hours against target, split into flexitime and overtime. End-of-month arguments disappear.

Working-time law & approvals

  • Working-time checks in real time

Mandatory breaks, the 10-hour limit and 11 hours of rest are checked as soon as you assign someone, the 24-week average under § 3 ArbZG continuously. The breach shows up before it happens — without blocking clock-ins.

  • Approvals inbox

Time corrections, weekly approvals, applications, offers that need you again and working-time notices in one view — notices can be confirmed in bulk. A location lead sees only their own locations.

  • Company defaults

Break rules, weekly hours, what happens to a time after clock-out, whether clocking in is limited to assigned shifts, how offers can be answered, and custom fields — set once, valid everywhere.

Paperwork for the client

  • Hours statement per site

Every shift, every assignment and every employee with planned, actual and premium hours — as PDF, Excel or CSV, for several sites with subtotals. Names in full, as initials, as personnel number or left out.

  • Site report for the client

A PDF built like a kit: cover page with key figures, shifts with target/actual per person, premium-hours statistics, logbook entries, service instructions — sections of your choice, names optional. Locking can be undone.

  • Sheets straight from the roster

Staffing lists, proof of service, attendance sheets — generated from the plan instead of retyped, as Excel, PDF or CSV. Every sheet you hand out stays in the archive until its retention period ends.

  • Rebuild your client’s own form

Rebuild columns, header block and print layout without ever typing a cell reference. Qualifications appear as a cross, yes/no, number, expiry date or short code such as “SKP”, and the post comes straight from planning.

  • Fill in the client's Excel file

If the client sends their own form, upload it under “Own file” and just say from which row the names start and which column is what. Colours, borders and logo stay exactly as they were.

  • Send sheets and get them countersigned

A generated sheet goes by email to the site's contacts, for countersignature via e-signature or as an attachment to a letter. Below the dialog you see where it has already gone — failed attempts included.

Billing & reporting

  • Hours report

Per employee target, actual and credited hours, per site demand, staffed and actual — split into base, night, Saturday, Sunday and public-holiday hours. Export for the payroll office, as Excel or PDF, even without Payroll.

  • Period closure with countersignature

A closure freezes a period's figures with a checksum and later shows every row that has changed since. Your customer sees it in the customer portal and countersigns for their own sites.

  • Customer sales rates with surcharges

Hourly rates per customer, location and role, plus night, Saturday, Sunday and public-holiday surcharges as a percentage or a fixed amount. “Change price from …” sets an increase from a given date, and the preview works through an example.

  • Spot gaps in your price list

The “Without sales rate” tab and a badge in the location list, the location file and the CRM customer file show where no rate applies today. Every shift is billed at the rate that was valid on its day.

  • Paid breaks per location

Per location you choose “Unpaid – deducted”, “Paid – the client pays for it” or “Paid – for the employee only”. Pay, invoice and the hours report follow that choice; the mandatory break is still recorded.

  • Handover to invoicing & payroll

Approved times feed into the billing run and the wage calculation without a second entry — per location by actual hours, flat by planned hours or with a guaranteed minimum.

Payroll

Gross wage calculation with tariffs, premiums and site rates — through to handover to your payroll office.

19 featuresModule page →

Pay model

  • Salary or hourly pay

Set per employee how they are paid. That single fact is the basis of every calculation that follows.

  • Pay grades

The base hourly rate per grade — property security, cash transport, aviation. Kept separate from the premium scheme.

  • Tariffs for premiums

Night with its own night window, Sunday, Saturday and public holiday in one scheme. Several pay grades share a tariff — a pay round is changed in exactly one place.

  • Premium combination

What applies when night meets Sunday or a holiday — only the day type, the higher one or both — and whether the holiday takes precedence over Sunday. Plus a Saturday window and a fallback holiday region, Austria and Switzerland included.

  • Site rates

The hourly rate depends on the site and/or the position, not on the person — the usual model in contract security. Per rate you choose “Wages for your own employees” or “Cost rate for subcontractors and external workers”.

  • Premium rules without code

A team-lead allowance only at events, a higher night premium at one specific property — assembled through a guided form.

  • On-call rates

On-call is not working time and is not clocked; it is paid at its own rate — as a flat amount or per hour, with separate amounts for Saturday, Sunday and public holidays.

  • Minimum-wage warning threshold

You set the hourly rate below which the payroll run shows a warning. It warns, it does not block — and the figure is yours, not a statutory value we maintain.

Payroll run

  • Payroll runs per period

Open a period, calculate gross per employee, review, correct and hand over to your payroll office. A run is never locked: “Open”, “Calculated” or “Exported” — recalculating works at any time, after an export with a confirmation.

  • Visible calculation trail

Every shift with date, location, break, hours and premiums; expanded, the split by time of day and the source of every figure. If a location pays the break, it counts in the hours — premiums included.

  • Gross pay statement as PDF

One statement per employee at the level “Compact”, “Per shift” or “Per time segment”. “All pay statements” runs in the background and ends with a combined PDF ready to print.

  • Pay out overtime

Pay out hours and minutes, or the whole overtime balance with “All” — the amount appears in gross pay, on the pay statement and in the export, and a reversal returns the hours. With Securo Payroll Pro.

  • Company car & mileage

Fleet calculates the company car benefit and the mileage reimbursement; the payroll run carries both into gross pay. If the month has not been calculated yet, the run tells you.

Handover to the payroll office

  • Wage types

The numbered categories your payroll office uses — base pay, night, Sunday. The export maps every amount to the right one.

  • Handover to DATEV Lohn & Gehalt

With adviser and client numbers on file, your payroll office sets up the format in DATEV once and then reads every file directly. Hour-based wage types go across as hours, premiums and fixed pay as amounts.

  • Hours statement (CSV)

One row per employee and wage type with personnel number, name, hours, amount and cost centre — independent of any software, for any payroll office to import or type in.

  • Your own export templates

For payroll offices without DATEV: build Excel or CSV lists yourself, such as “Hours per rate” for typing in, with your own column headings. The total row equals the run’s gross exactly.

  • Export archive with change notice

Every generated export stays available as a copy. If the current figures differ from the last export, a notice shows the difference — so you know whether to export again.

  • Subcontractor costs

Cost rates per site or position for external staff, and a cost report built from them — purchase costs, not wages, and not part of the DATEV export. The report is part of Securo Payroll Pro.

Features by module

Security & evidence

For security providers: fully documented, tamper-evident records, aligned with German rules.

Guard control

GPS and NFC patrols, lone-worker protection and unbroken proof of service.

18 featuresModule page →

Patrols

  • Patrol on the phone

Start assigned and open patrols, scan points by tag, and in an emergency hold the panic button for two seconds. Without a signal, scans are stored and go out by themselves — because basements have no signal.

  • Checkpoints via NFC & GPS

Create stations as NFC tags or GPS points per property — set the position by address search or a tap on the map, no coordinates needed. The evidence is created where the officer actually stands.

  • Assign tags on site

The page lists exactly those checkpoints still missing a tag and walks you through assigning them in one pass. Where the phone provides it, the chip's serial number is stored too — a copied tag stands out.

  • Tasks at the checkpoint

A checklist per point — confirm, yes/no, reading, photo or free text — worked through while scanning. Mandatory tasks cannot be skipped, so the round becomes verifiable rather than vague.

  • Patrol route templates

A set of checkpoints as a reusable patrol, in fixed or any order. Pick points one by one, or use “Add all” to take every point of a site at once.

  • Unpredictable routes

The order is drawn anew at every start, and optionally only some of the points are asked for — mandatory points are always included. Nobody can predict the round. The subset is part of Guard Control Pro.

  • Tours at a glance

Planned, running and past patrols in one place — including ad-hoc tours when something comes up.

  • Recurrence schedules

“Every week Mon, Wed, Fri between 10 pm and 4 am” — even several times per window: hourly from 6 pm to 6 am, or twelve patrols a day at any time. Assigned to a fixed person, an open pool or whoever is on shift at the site.

Lone-worker protection

  • Dead-man & panic alarm

If no sign of life comes, the officer first gets a pre-alarm with “I'm OK”, then the main alarm goes out. If a panic alert does not get through, the app keeps trying and offers the emergency call.

  • Location even in the pocket

In the Securo Hub app, location is recorded during a patrol even with the screen off — only then, never before or after. Optionally, patrols require background location to start.

  • Alarms with escalation

Tour missed, dead-man, panic, suspected faked patrol — with acknowledgement and an escalation chain. If a stage reaches nobody, the alarm goes to Owner and Administrator, and the officer sees whether it arrived.

  • Your own alarm rules

Set thresholds, channels and escalation stages per alarm type yourself — recipients as fixed people, site management or a role. Alerts are part of Guard Control Pro.

Dispatch & incidents

  • Live dispatch view

Every active tour on a map, with officer position, target versus actual and open alarms — refreshed every 15 seconds.

  • Document incidents

Category, severity, description, position, photos and signature — attached to a tour or standing alone.

  • Check integrity

Every scan and status change is linked to the one before; “Check now” recalculates everything. Suspected faked patrols — impossible speed, a copied tag, a probably faked location — are flagged. Guard Control Pro.

Evidence & analytics

  • Audit-proof reports

Target versus actual, deviations, incidents and the activity report as PDF, Excel or CSV — with a name of your choice in the report header. Each point shows whether it was captured by tag, by GPS or without a tag.

  • Analytics

Completed, missed, checkpoints fulfilled, incidents and coverage per site, plus staffing and hints such as “Often missed” or “Site without an active patrol”. Part of Guard Control Pro.

  • Organisation-wide settings

When the pre-alarm and main alarm trigger, whether patrols need background location, whether NFC tags get write-protected, and how long the GPS trail and photos are kept. Tours, scans and incidents are never deleted automatically.

Guard logbook

A digital duty log: record occurrences in a tamper-evident log, still verifiable years later.

22 featuresModule page →

Recording on duty

  • Entries per property and shift

Every event, observation and special occurrence — recorded and kept in a tamper-evident log. If a shift is running, its site is already filled in; security officers can record for it even without a permission of their own.

  • Entry templates

Templates define, per site or for the whole organisation, what is asked when recording — severity, for instance. Fields can depend on conditions and mandatory fields cannot be skipped, which keeps the data analysable.

  • Photos & signatures

Images and signatures belong to the entry and run through the same evidence chain as the text. The server strips location data from photos before storing them.

  • Record offline

Entries and photos captured without a connection stay on the device and go out automatically once you are back online — visible in their own list.

  • Shift handover with receipt

Open items, notes and the outgoing officer's signature; the incoming officer acknowledges. Open items from the previous shift are taken over with a tap, and an unacknowledged handover is reported after a period you set.

  • Linked to Guard control

An entry can be linked to an incident or patrol at the same site — the cross-reference shows on both sides. Part of Logbook Pro.

Proof & verification

  • Unbroken evidence chain

Every entry carries the fingerprint of its predecessor. Change something afterwards and the chain visibly breaks at exactly that point.

  • Corrections stay visible

An entry is never overwritten. A correction creates a new version and the old one remains readable — the forensic view shows both.

  • Verify the chains

At the press of a button the system recalculates whether the logbook is unchanged since recording — across three separate chains for entries, daily reports and handovers.

  • Define what counts as unusual

When an entry counts as filed late, from what gap at a site it stands out and how far a device clock may run ahead. None of these thresholds blocks recording — whoever observes something on duty must be able to write it down.

  • Verification link for third parties

A court, insurer or client verifies the integrity of the evidence chain themselves — via a time-limited, revocable link, without a Securo account and without seeing any content.

Reports for third parties

  • Daily activity reports

All entries of one day at one property as a single report — with its own summary and its own evidence chain. The day follows your organisation's time zone, so a night shift lands in the right report.

  • The logbook as a full record

A site's book with cover page and every duty day, plus log, daily report and handover record as PDF, CSV or Excel — in English too. Archived reports remain downloadable. Part of Logbook Pro.

  • Tailored to the recipient

Anonymise security officers, leave out photos or print only the latest version of corrected entries — the book lists every omission on its notes page, so it is clear what is missing.

  • Verification page per report

The QR code on the last page leads, without login, to a verification page: it checks that every entry in the report is unchanged and compares the PDF with the original in the browser. Anomalies appear only if you release them.

  • Entries in the customer portal

Events, patrol notes and special occurrences appear in the client's customer portal straight away — only for their sites and only the types you release. The release shows how many entries arrive there.

  • Logbook in the site report

In the Workforce site report, a section of its own puts the site's entries on the page — events and special occurrences by default, and only the latest version of corrected entries.

Privacy & retention

  • Access requests & deletion

An Article 15 request bundles all entries, photos and processes concerning a person into a file you can hand over; deletion follows the same path.

  • Crypto-shredding

Delete without breaking the chain: instead of overwriting the file, its key is destroyed. The content is gone, the chain stays intact.

  • Legal holds

During litigation, an insurance claim or an inspection by the employers' liability insurance, a hold keeps the automatic deletion run away from the content — for the whole organisation, one site or one person.

  • Retention periods

How long media, entries and the evidence trail are kept, whether handovers must be acknowledged and what makes an entry suspicious — set per organisation.

  • Everyone sees their own sites

Optionally, a security officer reads only the logbooks of sites they worked at — scheduled there or recorded there themselves —, with an adjustable look-back. Useful as soon as you work for several clients.

Radio & dispatch

Push-to-talk over cellular, dispatch in the browser, a situation map, recorded radio traffic with AI transcripts, and SOS.

19 featuresModule page →

Dispatch

  • Dispatch in the browser

Sign in with a radio account, talk, listen in and intervene — right in the browser, no extra software. Group tree on the left, situation map in the middle, emergencies and calls on the right. With Securo PTT · Pro.

  • Talk and listen in

Pick one group as the talk group and listen to others; talk with the button, latching mode or the space bar. Next to the button you see who is talking and for how long.

  • Individual and group calls

Call a radio directly — full duplex like a phone, or announced first with “Ring”. A “Group call” reaches selected radios, or all of a group, that are online at the moment.

  • Group tree with live status

Every group with every radio, online and offline: who is talking, who is in the group, who is muted or suspended. Drag and drop radios into another group — right now or permanently.

  • Intervene on the radio

Revoke the floor, mute, pull into a group — even without prior access — or set GPS reporting to 10, 30 or 60 seconds. For one radio, a selection or all of them, always with a confirmation.

  • Search, shortcuts, own window

Find radios, groups and locations with / or Ctrl+K and jump between map, members and log with shortcuts. “Own window” moves dispatch onto a second screen.

Situation & emergency

  • Situation map with layers

Radios, open emergencies, locations with a target/actual traffic light (“Fully staffed”, “Below target”, “No-show”), “Guards live” on patrol and patrol alarms — layers switch on and off depending on your modules.

  • Live positions

Where each radio is right now — on the situation map, with the age of the position. “Follow” keeps the map on one device, so dispatch can send the nearest person.

  • Emergency with nearest radios

An emergency call arrives in dispatch immediately, with an alarm tone. The map lists the nearest radios by straight-line distance, online first — call any of them directly or pull them into the talk group.

  • SOS alarms

Every emergency trigger with time, sender, group, position and status. “Record handling” notes who is taking care of it; a red banner shows how many alarms are still open.

Radio traffic

  • Record radio traffic

With “Record”, dispatch stores the talk group, monitored groups and its own transmissions — plus group changes, calls, emergencies and interventions as events. With Securo PTT · Pro.

  • AI transcript included

Every stored transmission is transcribed a few seconds later. Listen back, search by word, request missing transcripts or correct them by hand.

  • Radio traffic report as PDF

Transmissions, emergencies, interventions and your own entries such as “Police informed” in one timeline — as a PDF with key figures and, if you like, a clearly labelled AI summary.

  • Set your own retention

Choose how long recordings are kept, between 1 and 365 days (default 30); after that Securo deletes them along with the transcript. The AI transcript for new transmissions can be switched off.

Groups & devices

  • Radio groups

Bundle devices into talk groups: whoever shares a group hears and speaks with the others. Create and rename groups and cap talk time at 30 to 180 seconds.

  • Manage members

Tick devices to add them to a group or untick to remove them, then save all changes in one go — master data and membership in one place.

  • Radio devices

Every device in your organisation with display name, IMEI, radio status, GPS status and group count — in the radio overview right next to the radio groups, searchable.

  • Device in detail

Display name, note and radio account active or suspended. If a device is lost or stolen, “Muted (remote kill)” cuts it off — it can then neither send nor receive.

  • Several radio networks

If your organisation runs more than one radio tenant, dispatch switches between them — devices, groups and recordings then always match the selected network.

Guard register

View security staff and company data straight from the German guard register — and check third-party guard IDs.

6 featuresModule page →

Register connection

  • Connect your BWR tenant

Store your access to the German guard register once — after that you work with register data without logging in there separately. The password is stored encrypted and never shown again.

  • The connection is verified

A tenant is only created once signing in to the register works. The list shows “Sign-in successful”, “Sign-in rejected” or “Registry unreachable” and when it was last checked.

Register data

  • Registered guards

Who is recorded in the guard register for your tenant — with guard ID, status, registered address and branch. Five tabs per person: core data, ID document, qualification, reliability, business.

  • Status and status changes

The register status is colour-coded in the list — green approved, yellow under review, red rejected — together with the last status change. The data comes fresh from the register on every visit.

  • Company overview

What the register holds about your company: identification number, branches and how many procedures sit with the business, with the authority or are closed — including whether something was rejected and is stuck.

  • External guard lookup

Check a third-party guard live in the register — a subcontractor’s staff member before deployment, for instance. With guard ID, date of birth and ID number; a hit also shows the types of assignment.

Features by module

Sales & billing

From first contact through the quote to the paid invoice.

CRM

Customers, contacts, contracts, deals and pipeline — with e-mail from your Microsoft 365 mailbox and group structures.

28 featuresModule page →

Customers & contacts

  • Customer directory

Every company and account in one list — search, create, open. The entry point to all sales work.

  • Customer record

One customer with everything attached: contacts, deals, contracts, activities, e-mails, attachments and history — in tabs instead of dialogs. The overview shows how to reach them and logs a call, note or follow-up right under “Record”.

  • Documents straight from the record

Under “More actions” you write the customer an e-mail or create a letter, an invoice or a quote — with the customer already filled in. Invoices and quotes require the Invoicing module.

  • Sales rates in the record

The “Sales rates” tab shows, per location of the customer, whether a sales rate applies today, followed by every rate with surcharges and validity. Where none applies, “Add sales rate” takes you there. With Workforce.

  • Customer payment methods

Once Stripe is connected, the customer record gains a “Payment methods” tab: store and remove the customer's card or SEPA mandate — for collecting open invoices later.

  • Cross-customer contact search

Search every contact person in your organisation regardless of which customer they belong to — when only the name is known. One main contact can be flagged per customer.

  • Group structures

Parent-subsidiary relationships as a tree, plus figures aggregated across the whole group: customers in the group, weighted pipeline value, open deals and active contracts.

  • Spot duplicates

A nightly scan proposes possible duplicates; you pick the right value per field and merge or dismiss. Contacts, deals and activities move along. Part of CRM Pro.

Sales & contracts

  • Deals with stages

Deals from first enquiry to close — with value, stage and win probability, from lead to won or lost. Part of CRM Pro.

  • Own deals and the pool

Sales reps see their own deals plus those not yet assigned to anyone. “Take over” claims a new enquiry, “Back to the pool” releases it; the team is notified of new enquiries. The “Sales” role template includes this.

  • Line items on a deal

What a deal is made of: one line per service with quantity, unit price and discount. The value follows from the net total; lines marked optional don't count. Part of CRM Pro.

  • Sales pipeline

A board where deals move to the next stage by mouse or keyboard — each column with count and total. The state of the quarter at a glance. Part of CRM Pro.

  • Record lost reasons

Your own list of reasons, one of which must be picked when a deal is lost — so every lost deal carries its reason. Retired reasons stay on older deals.

  • Contracts in one place

Subscriptions, maintenance, consulting and security services with term, value, billing cycle and status — filterable across customers, with notice period and automatic renewal.

Day-to-day sales

  • Work through

Get deals or customers matching a filter presented one after another — call or write, log the outcome, a note or a follow-up in one click, on to the next. Made for call rounds and follow-ups.

  • Activity timeline

Notes, calls, meetings, emails and tasks across all customers in one place — sales history without digging through mailboxes.

  • Mentions and reminders

Type @ to bring a colleague into an activity — they are notified with the sentence that names them. Tasks with a due date and an assignee remind them on the morning of the day before.

  • My tasks

Every open task assigned to you across all customers, grouped by due date. On a phone the most urgent sits on top and “Done” is a single tap.

  • Call from the CRM

Next to every phone number — on contacts, in the customer record and while working through — “Call” starts the call right in the Hub. With the Telephony module; without it a click opens your phone.

E-mail in the CRM

  • E-mail from your Outlook mailbox

Write to customers straight from the CRM — sent from your own Microsoft 365 mailbox. Customer replies attach themselves to the same thread in the customer record.

  • Send later and undo

“Send later …” schedules an e-mail up to 30 days ahead; after sending, “Undo” pulls it back for up to 20 seconds, depending on your setting. You decide whether Outlook keeps a copy under “Sent Items”.

  • Templates, signatures, placeholders

Your own templates and signatures — pasted straight from Outlook if you like. Placeholders such as “Salutation with name” or the organisation logo are filled in on sending; a signature template can be made binding for everyone.

  • Shared mailboxes

Shared addresses such as sales@ with members and a sending mode of “Send as” or “Send on behalf”. “Check access” shows a traffic light per member telling you whether the Microsoft 365 permissions fit.

Organisation & data

  • Custom fields per record type

Extra fields for customer, contact, contract, activity and deal — beyond the standard set, without development. Part of CRM Pro.

  • Shared views

Share saved list views organisation-wide — everyone sees the same selection instead of building their own filters. Part of CRM Pro.

  • Bulk operations with history

Bulk edits, tags, owner changes, archiving and deletion — traceably logged. Part of CRM Pro.

  • CRM overview

The sales start page: open deals, weighted pipeline value, open tasks — and a notice as soon as new deals without an owner are waiting, with “Work through” right next to it.

  • CRM in automations

A new or changed customer, a won deal or a new contract can start a workflow; in turn, workflows create customers, activities and contract drafts. With the Automations module.

Invoicing

Quotes, invoices, dunning, e-invoicing and automated billing straight from the schedule.

30 featuresModule page →

Writing invoices

  • Write invoices

Create outgoing invoices as drafts, review and finalise them — from then on the document is immutable. Invoice date and service period are prefilled, “Previous month” sets the billing month in one click, and “Copy” turns October's invoice into November's.

  • Line items & tax

Items with title, description, quantity, discount and tax per document. The tax treatment — domestic, reverse charge, export or small business — is derived from the customer's country and VAT ID rather than asked for.

  • Service catalogue with quick entry

Store what you bill regularly once, with price, unit and tax rate. When writing, the name is enough — the entry fills in the line; “Security service 40 x 45.00” adds quantity and price in one go.

  • Advance and final invoices

Bill advances before the work and deduct them in the final invoice with a tick. The document shows “Less advances” and the amount due; a final invoice fully covered by advances never becomes overdue.

  • Texts per document with preview

Subject, introduction, closing text and payment note per invoice or quote: “Standard” from the document design, “Own text” or “None”. The “Preview” tab shows the PDF right in the Hub.

Quotes

  • Quotes

Create and finalise quotes: the quote gets its number and the PDF goes to the archive — nothing is sent, you pass it on yourself. “Revise” reopens it under the same number, “Withdraw” takes it back.

  • From quote to invoice

Record the acceptance and convert the quote into an invoice draft — automatically on acceptance if you like. The history keeps every finalised version together with its PDF.

  • Optional lines

Mark add-on services as “Optional”: they appear on the quote but are shown separately and not counted in the total. When converting to an invoice you decide whether they come along.

  • Patrol-shift calculator

“Calculate proposal” works out the planned hours per location and role from the schedule and fills in ready quote lines at the customer's sales rate — night or holiday surcharges as lines of their own. With Securo Invoice Pro.

  • Quote defaults

Validity period, number prefix, automatic conversion into an invoice and expiry behaviour for all new quotes.

Sending, payment & dunning

  • Sending by email

Send the invoice as PDF, XRechnung or ZUGFeRD — the customer's e-invoice format is preselected. If mandatory e-invoice details are missing, the Hub says so beforehand; “Send PDF only” helps in a pinch.

  • Finalise & send in bulk

Tick up to 200 drafts and bill them with “Finalise & send”. It runs on in the background; failures are listed with their reason, and no invoice goes out twice.

  • Record payments

Book incoming payments with amount, date, method and reference — partial ones too. The status switches to “Partially paid” or “Paid” by itself; a wrong entry is corrected with “Counter-book” without erasing the trail.

  • Online payment via Stripe

With a connected Stripe account customers pay open invoices by card or SEPA direct debit — in the Hub or via a payment link without login. Incoming payments are matched to the document automatically.

  • Early payment discount & GiroCode

An early payment discount with percentage and period per invoice or as a default for all; the document shows the date and deduction. With a valid IBAN the invoice carries a GiroCode for the bank transfer.

  • Dunning

After the payment term, three reminder levels as PDF — with fee, late payment interest and your own texts per level — sent to the customer by email. Only what is truly outstanding is chased. With Securo Invoice Pro.

  • Cancellation & credit note

Finalised invoices are cancelled or corrected with a credit note — both refer to the original. A partial credit note reduces the outstanding amount; the rest stays due.

Automated billing

  • Billing from the schedule

Approved shifts become invoice drafts per location, one customer at a time — each shift at the sales rate of its day. A service list without employee names can be attached. With Securo Invoice Pro.

  • Actual, planned or guaranteed hours

Per location you choose what gets billed: the hours clocked, the hours planned — or the higher of the two. With a guarantee the difference appears automatically as its own line; planned and guaranteed need a sales rate.

  • Surcharges in billing

If the sales rate carries surcharges for night, Saturday, Sunday or public holidays, each location and type gets its own line — such as “Nachtzuschlag 25 %” with the surcharge hours from the schedule.

  • Special prices & flat rates

Special rates, discounts and flat fees per customer or location — travel, special deployments, materials.

  • Recurring invoices

Monthly, quarterly, yearly or on your own rhythm the invoice is created by itself — with “Create as draft only” for review, otherwise finalised straight away. With Securo Invoice Pro.

E-invoicing & accounting

  • ZUGFeRD & XRechnung

Invoices in the EN 16931 e-invoicing format — machine-readable for the recipient, readable for humans. “Validate e-invoice” lists every error one by one before the document goes out.

  • Reports for your tax adviser

VAT report per tax rate and a DATEV posting batch for SKR03 or SKR04 — what your accounting actually asks for.

  • Number ranges & tax rates

A separate sequential number range per document type — gapless, the way a tax audit expects it. The number is only assigned on finalising.

  • Outstanding items at a glance

The start page shows outstanding and overdue invoices with the open amount, plus the drafts — one click opens the matching filtered list.

Document design & defaults

  • Document design

Eight layouts, twelve typefaces, colours, logo and touches such as a colour band or a watermark on drafts — one design for invoice, quote, credit note, cancellation and reminder, with a preview before saving.

  • Custom footer

Up to four columns with placeholders for bank details, tax and register data — on every page in the same spot, with “Page 1 of 2” if you like.

  • Multiple brands

Subsidiaries or brands under one legal roof — each design with its own logo and colours, chosen per document. New designs start as a copy of the default design.

  • Issuer & defaults

Your company as the invoice issuer with a validated IBAN, plus payment term, invoice language, e-invoice format and small-business rule as defaults for new documents — set up once.

Appointments

Add-on to the CRM: public appointment booking with Outlook sync and website forms — consultations, site visits, callbacks. In the Hub under “Appointments” in the CRM menu.

13 featuresModule page →

Bookable offering

  • Appointment types

Your bookable offerings — “30-minute consultation”, a site walk-through, a callback. Each type sets duration, location and conditions.

  • Rules per type

Duration, buffers and lead time, the questions on the booking form and the team behind it — set across four tabs.

  • Team appointments

Several people offer the same type: “Round robin” gives the appointment to exactly one free member, “Together” only offers times when every member is free and then blocks every calendar.

  • Public booking page

Prospects pick a free slot themselves. No email ping-pong, no double bookings — and with the link in their confirmation, guests cancel or reschedule on their own.

Availability

  • Weekly plan & exceptions

Time windows per weekday, date exceptions for holidays and the governing time zone — the slots follow from that.

  • Outlook sync

Through your personal Microsoft 365 connection, times blocked in Outlook are not offered and confirmed appointments block the time there. Move or delete the entry in Outlook and the appointment follows.

Managing appointments

  • Manage appointments

Confirm or decline requests, reschedule or cancel confirmed appointments and record when someone did not show up.

  • Enter an appointment yourself

Agreed on the phone? Enter it directly — from the customer record, too. The guest gets the invitation with a calendar file and the slot is confirmed at once.

  • Automatic reminders

The guest gets an email 24 hours and one hour before the appointment, you get a notification. If the appointment is rescheduled, the reminders move with it.

  • Every appointment in the CRM

A confirmed appointment lands in the CRM by itself: new guests become a customer with a contact and a deal, known ones get the appointment and their form answers in their history — without a second record.

Forms & enquiries

  • Forms for your website

“Request a quote”, “Book a callback”, a contact form — built in the hub, embedded on your site. What a visitor submits becomes a deal in the CRM.

  • Decide fields and appearance yourself

Add fields and map their meaning to the matching CRM field, then align colours, font, field style and spacing with your website — with a live preview. The privacy-policy link and the list of allowed websites live here too.

  • Inbox with CRM handover

Every enquiry sits in the inbox in full, along with a note on whether it reached the CRM. Anything that got stuck you push through with one click; spam you sort out and can release again.

Features by module

Documents & correspondence

Signing and writing — at the right signature level and in your own identity.

E-signature

Sign electronically with simple and advanced signatures — with identity verification and a public verification link.

16 featuresModule page →

Signature envelopes

  • Signature envelopes

An envelope bundles the PDFs to be signed. Every envelope in your organisation with its status on one page.

  • Envelope in detail

Documents, recipients, history and — once sealed — the integrity check. Still traceable months later.

  • Recipients & order

Who signs, who approves, who gets a copy — with routing stages when A must sign before B.

  • Place fields

Drag signature fields, date, name, text boxes, checkboxes and drop-downs onto the page — per recipient.

  • Withdraw an envelope

Sent it to the wrong address? “Withdraw envelope” invalidates open signing links at once and notifies anyone still waiting — signatures already given remain on record.

Signature levels & legal form

  • Simple signature (SES)

For everything without a formal requirement — fast, with evidence of time, consent and document state.

  • Advanced signature (AES)

The signature is bound to the person — through identity verification with ID scan, liveness detection and name match, or through an SMS code sent to the stored phone number. With Securo Sign Pro.

  • Qualified signature (QES) — in preparation

The highest eIDAS level, via a trust service provider, is prepared but not yet selectable. Envelopes that require it can already be created — they are never silently downgraded.

  • Legal form is enforced

You pick the document type; the system assigns the required form and minimum level and refuses anything weaker. Terminations are blocked; documents requiring written form wait for QES.

Identity & evidence

  • Recipient authentication

An access code or an SMS code (with Securo Sign Pro) before viewing — so only the right person opens and signs. After five wrong attempts the input is locked for a while.

  • Sealed and verifiable

On completion the envelope is sealed; document hashes and the history make any later change visible.

  • Independent verification by link

A court or counterparty uses the QR code in the PDF or a shared verification link to check whether an envelope is validly sealed and at which level — without content or personal data.

Templates & volume

  • Templates

Set up documents, roles and placed fields once and apply them as a new envelope with one click — for NDAs, employment contracts, forms.

  • Template editor

Metadata, documents, roles and fields of a template across four tabs — whatever sits here is copied on use.

  • Bulk send & self-service forms

Send the same template to many recipients in one step — or publish it as a public link people fill in themselves. With Securo Sign Pro.

  • Branding, sender & legal texts

How your signing page and emails look, which legal texts appear there, and which expiry and reminders new envelopes start with — set organisation-wide.

Letters

DIN 5008 business letters and mail merges — from draft to physical delivery.

17 featuresModule page →

Writing

  • Business letters

Drafts and finalised letters in one place — searchable by recipient or subject.

  • The DIN sheet is the editor

Address, subject, body and signature are typed directly on the sheet — in the same dimensions as the PDF, compliant with DIN 5008. “Print view” shows the sheet without empty fields, as it arrives.

  • Recipients from CRM or HR

One click into the address field: free text, a customer from the CRM or an employee from HR — the address is copied in and stays editable.

  • Formatting as you know it

Bold, italic, font size, bulleted and numbered lists in the body; subject, salutation, closing, name and position are each formatted as a whole line.

  • Draft with AI

The AI drafts or revises the body text and suggests a subject — every suggestion is shown before you accept it. With Securo Letter Pro and an AI licence.

Templates, signatures & enclosures

  • Templates & catalogue

Your own templates in the same editor as the letter, with “Insert placeholder” for recipient, sender or appointment — plus a catalogue of ready-made, DIN-compliant standard letters to adopt.

  • Stored signatures

Set up a signature per person, handwritten or typed (“p.p. …”), with name and position — picked in the letter with one click and printed, including for postal mail.

  • PDF enclosures & invoices

Upload PDFs or search for invoices and attach them — their real pages appear behind the letter in the print view and count towards postage. With Securo Letter Pro.

Sending

  • Mail merge

One template plus recipients from CRM, HR or CSV produces many personalised letters; our reference, contact, phone and email are entered once for all. With Securo Letter Pro.

  • Two ways to deliver

A single letter as a PDF download or by post, a mail merge bundled as a ZIP or as postal mail — you decide per letter or per run.

  • Postal mail with a real print preview

See the envelope check, the recognised address and the final cost before anything is printed — only “Release for print” sends the letter, as registered mail if you like. With the Securo Letter postal add-on.

  • Quota & monthly budget

Every organisation has a quota of postal dispatches; the “Postal mail” tab shows what is left. An optional monthly budget adds protection against unintended costs.

  • Sent & re-download

What went out stays findable: download exactly the PDF that was sent, or keep an archive copy.

Letterhead & defaults

  • Letterhead profiles

Logo, accent colour and typeface as a profile — the default profile is applied to every new letter automatically.

  • The logo in the right place

Set alignment, distance from the top and height of the logo per letterhead — the height is capped so the logo never reaches into the window envelope’s address field.

  • Custom footer

Up to four columns with placeholders such as contact or letter number, your own font size, colours and page number — in the same place on every page.

  • Sender & mandatory footer

Sender, the legally required footer, the default DIN form and your organisation’s signatures — maintained once, applied to every new letter.

Features by module

Steering & quality

What holds the operation together: the standard, the fleet, tasks, customer requests.

Quality

ISO 9001 from gap analysis through audits to the certificate — including DIN 77200.

28 featuresModule page →

Standard & readiness

  • ISO 9001 in plain language

The standard's requirements, clauses 4 to 10, in understandable words — with a status per requirement: open, covered or justifiably excluded.

  • Guided gap analysis

32 plain-language questions, four answers each — that produces your starting picture without anyone having read the standard first.

  • Certification readiness as a percentage

How many requirements are backed by evidence and which are still missing — a number that actually steers the project.

  • Roadmap to certification

The milestones from gap analysis to certificate. Enter a target audit date and the system works the due dates out backwards and flags anything overdue.

  • Evidence builds up as you work

Approved documents, events, audits, reviews, risks and objectives count automatically towards the matching requirement — existing records can be linked as well.

  • DIN 77200 industry profile

A second view of the standard for security service providers: DIN 77200-1 status is derived from your ISO evidence, plus a service instruction type and a site audit template. With Securo QM Pro.

Document control

  • Controlled documents

From the quality policy to the work instruction — with status draft, under review, valid or archived, a review date and a template catalogue for a quick start.

  • Versions, release & read receipts

Who reviewed, who released, who confirmed the valid version — the evidence an auditor asks for first.

  • My reading list

Anyone on a document's distribution list finds the valid version under “My reading list” and confirms it with one click — again after every new release.

Events & improvement

  • Complaints, non-conformities & ideas

One inbox for everything that goes wrong or could be better — complaint, non-conformity, improvement idea, incident. The complaint trend shows categories per month; the customer can be picked from the CRM.

  • Public complaint link

Your customers report an issue through a link without signing in; it lands in the inbox as a complaint. Generating a new link invalidates the old one.

  • Import from the guard logbook

Events and special incidents from the guard logbook become a QM incident with one click — without duplicates. With Securo QM Pro, an active DIN 77200 profile and the guard logbook.

  • Causes & corrective actions

Guided 5-why analysis, immediate and corrective actions with an owner and a deadline — and the later effectiveness check.

Risks, objectives & changes

  • Risks & opportunities

Kept separate and each rated by likelihood and impact. The matrix shows as a heatmap where things get tight.

  • Planned changes

In the “Changes” tab you plan changes to the quality system with purpose, possible consequences and required resources — from draft to implemented, as evidence for clause 6.3.

  • Objectives & metrics

Measurable quality objectives with an action plan and the progress derived from it — plus the metrics you track anyway.

  • All QM due dates in one list

Corrective actions, effectiveness checks, document reviews, risk reviews and objective deadlines — instead of hunting across five pages.

Audit & review

  • Internal audit

From planning, auditor and independence through to findings and the report as a PDF — the mandatory record under clause 9.2.

  • Audit programme

A target frequency and the next due date per area — after each completed audit it moves on automatically and shows up under “Tasks”.

  • Fill in checklists on the move

Yes/no at the touch of a button, a scale, free text and a photo per question. A finding becomes an action straight away, the result comes as a PDF — with your own templates for walk-throughs.

  • Management review

The management review under clause 9.3 — the mandatory inputs are filled in automatically, you assess and decide. Minutes as a PDF.

Certification

  • Certification cycle

Stage 1 gate check, every date of the three-year cycle and the external audits — your cockpit on the way to the certificate.

  • Non-conformities from the external audit

Record the certification body's major and minor non-conformities — each gets a 90-day deadline from the audit date automatically, with actions and effectiveness check.

  • Evidence package for the auditor

A ZIP with the audit readiness report as a PDF and every uploaded piece of evidence, sorted by clause — your case packed for the audit.

  • Weekly digest by email

Once a week, everything that is overdue or due in the next 14 days — with nothing due, deliberately no email is sent.

Organisation & context

  • Context, stakeholders & processes

Internal and external issues — including climate-relevant ones with a justification — interested parties with their requirements, and the process map with a turtle description per process.

  • Competence matrix & training plan

Required qualifications per role, actual evidence per person with expiry warnings, and planned training including effectiveness assessment.

  • Suppliers & measuring equipment

Suppliers with an approval status (approved, conditionally approved, blocked), evaluated against your own criteria (8.4) — plus the measuring-equipment register with calibration under 7.1.5.

Fleet

Vehicles, trip log, taxable benefit, dispatch, costs and deadlines.

24 featuresModule page →

Vehicles

  • Vehicle list

Every vehicle with the figure used to calculate the taxable benefit — and a column showing where a record is missing.

  • Vehicle record

Master data, who may drive and who may use it privately, plus the documents — in one place instead of three folders.

  • Vehicle pools

Group vehicles together with the people allowed to drive them — “Response vehicles North”, for example.

  • Deadlines in view

Roadworthiness test, safety inspection, service, tyre change, end of lease, insurance — always the next due date. A deadline that takes the vehicle off the road blocks it in the utilisation plan.

  • Damage & insurance

What happened, where the vehicle currently is and how far the insurer has got — an ongoing case rather than a one-off entry.

  • Handover records

Hand-out and take-back with odometer reading, fuel level, condition and photos — both sides confirm separately, after which the record can no longer be changed.

On the road

  • Start and end a trip

Big buttons instead of a form: captured on the move with one tap, the “Return trip” with another. Destinations are suggested from nearby places or your most frequent ones.

  • Works without a signal

Trips started in a dead zone keep running on the device and go out from “Not sent yet” as soon as there is a signal again — a trip that already arrived is never created twice.

  • Refuelling with a receipt photo

“Record refuelling” opens the phone camera straight away for the receipt; add amount, litres and odometer reading — prefilled with the last known value.

  • Report damage on the road

Pick the type from tiles, describe what happened, take the place from your current position and add up to four photos — the report is attached to the vehicle of the current or last trip.

Trip log

  • Trip log

The week's trips — captured on the move or added at the desk. Both routes produce the same entry.

  • Seven-day deadline with countdown

A trip without a trip type shows its remaining time, with a reminder on the phone beforehand. After seven calendar days it counts as private — the rule for a trip log kept up to date.

  • Shared destinations

Set up head office, workshop or the usual filling station once, optionally with a position on the map — they are suggested to every driver when ending a trip.

  • Month-end close

What is still open, where kilometres are missing and how much time is left. After that the month is write-protected; a close can be undone with a reason, and corrections stay visibly counted.

Tax & cost

  • Taxable benefit with calculation trail

What providing a vehicle is worth per employee and month — fully recalculated, so the figure holds up in payroll.

  • Confirm commute days

0.002% per actual trip instead of the 0.03% flat rate: drivers confirm their commute days once a month, and the annual counter runs up to the limit of 180 trips.

  • Private-use ban & valuation method

Record a private-use ban with supporting document for operational vehicles — and set and lock per calendar year whether the 1% rule or the trip log applies.

  • Reimbursement for private vehicles

Business trips in an employee's own car are reimbursed rather than taxed — cleanly separated from the company-car benefit.

  • Costs & fuel cards

Fuel receipts, charging, lease instalments, insurance and garage bills — with fuel cards, so every receipt lands on the right vehicle.

Dispatch & analysis

  • Utilisation plan

Bookings, shifts, workshop time and permanent assignments as a timeline with one lane per vehicle. Two overlapping bookings simply cannot be saved.

  • Request & confirm

Drivers request a vehicle for themselves — the request already holds the period, dispatch confirms it. A blocked driving licence stops the booking.

  • A vehicle for the shift

A booking is tied to the shift from workforce planning; “Record trip” prefills destination, purpose and times from the booking — only the odometer readings are left to confirm.

  • Do we still need this vehicle?

Two analyses: vehicles permanently below your usage threshold — and days on which everything was booked out.

  • Figures & export

Kilometres per destination location, home location and cost centre, cost per kilometre and consumption — trips and costs as CSV that Excel opens correctly.

Tasks

From a fast notepad to projects with board, sprints and timeline — with a calendar and Outlook sync.

34 featuresModule page →

Capture

  • Fast inbox

Type what is on your mind at the top and it lands as a task in your inbox. No form, no project, no excuse.

  • Shortcuts while typing

“tomorrow 9am !high @Name” sets date, priority and assignee right in the first line — with Securo Tasks Pro, #KEY files the task straight into a project. Recognised shortcuts show up as chips below.

  • Dictate instead of typing

Tasks can be spoken — handy in the car, on site and anywhere your hands are full.

  • AI structures notes

With Securo AI, the AI splits a scribbled note into separate tasks shortly after you capture it. An AI report explains the result, and the switch can be turned off at any time.

  • Templates for tasks and projects

Describe recurring work once — with checklist, estimate, recurrence and a due date in days. “Save as template …” turns an existing task into a template; with Securo Tasks Pro, whole projects too.

Organise & find

  • Seven views for the day

Today, Inbox, Open, Overdue, Upcoming, Done and All — plus the scope: my tasks, watched tasks, tasks visible to the team or everything visible.

  • List or table

In the table you change status, priority, assignee and due date right in the row and show or hide columns. The list groups by due date, status, priority, assignee or project.

  • Search, filter, sort

Search titles and descriptions, filter by status, priority, assignee, project and due date. Your choice is remembered until you click “Reset” — even after a look into a task.

  • Many tasks at once

Change, assign, push back by a day or a week, or move to the trash up to 200 selected tasks in one go. Keyboard shortcuts such as J/K, X and E do it without a mouse.

  • CSV export and import

Download the current view, filters included, as a file for Excel. On import a preview names the reason for every faulty row before the valid tasks are created.

  • Trash with undo

Deleted tasks stay in the trash for 30 days and can be restored, several at once if needed. Right after deleting, a click on “Undo” is enough.

The individual task

  • Detail page per task

Due date (all-day too), start, reminder, estimated time and visibility in one place. Every field saves by itself — there is no save button.

  • Checklists

Up to 200 items per task: added with Enter, ticked off instantly, renamed with a click and dragged into order by the handle.

  • Dependencies

Record what a task is waiting for and what it is blocking. Open predecessors appear as a notice above it; a loop — even a roundabout one — is rejected.

  • Recurring tasks

Completing a task creates exactly the next one in the series. “By schedule” keeps a fixed rhythm, “After completion” counts from the day it was checked off.

  • Attachments with preview

Simply drag files onto the task; images show up as a preview straight away. Up to 50 attachments per task and 25 MB per file — images, PDFs, Office documents or emails.

  • Time against estimate

Log duration, day and a note per entry; the total sits right next to the estimated time. Only your own entries can be changed.

  • History of every change

Who changed what and when is listed in the task's history — including changes by the AI and dates that were moved in Outlook.

Calendar & Outlook

  • Drag-and-drop calendar

Month or week: dragging a task to another day moves its due date, and undated tasks are dragged in from the “Without due date” tray. On the phone it becomes an agenda.

  • Tasks in your Outlook calendar

Open tasks assigned to you appear in your Outlook calendar “Securo – Tasks”. Move an event there and the task takes the new date. Requires a Microsoft 365 connection.

  • Outlook events alongside

If you wish, your Outlook events appear in the task calendar above the day's tasks. Private and confidential events show only as “Busy”.

Team & overview

  • Team board with workload

Per person: open, in progress, overdue, due this week and the estimated time; one click narrows the list. Other people's private tasks never appear here, not even as a number.

  • Comments, mentions & watchers

Questions right on the task; anyone mentioned with @ is notified and watches the task from then on. On comments and status changes, author, assignees and watchers are told.

  • AI preparation

Prepare a letter draft from a task (with Securo Letter and Securo CRM) or get a cover suggested for a shift (with Securo Workforce). Nothing is sent or assigned on its own.

  • Custom fields

Create fields such as “risk level” or “cost centre” — text, number, date, selection, yes/no or person, with Securo CRM also customer and contact. Optionally required and shown on the board card.

  • Daily digest, time zone & AI

Whether and at what hour the daily digest arrives, which time zone “Today” uses and whether the AI lends a hand. Notifications are set centrally in your personal settings.

Projects & planning (Securo Tasks Pro)

  • Projects with ticket keys

Related tasks under a short key such as SEC — every task gets a number like SEC-142 automatically. With Securo Tasks Pro.

  • Kanban board

Tasks as cards in columns; moving a card changes the status. New tasks are created right in the column, and filters can be saved — for the whole organisation if you like.

  • Backlog with hierarchy

An epic bundles tasks, a task has sub-tasks — expandable, so large efforts stay readable.

  • Sprints

Plan work in fixed time boxes, with a story-point estimate per task.

  • Timeline

Every task of a project as a bar from start to due date, by week, month or quarter — with a line for today and a red edge for anything overdue.

  • Labels & components

Coloured markers across status and sprint — a theme such as “urgent”, an area such as “technical”.

  • Burndown, velocity & workload

Three reports per project: the burndown of a sprint, the output across completed sprints and the open tasks per team member.

  • Lead, members & columns

Set the project lead and members, arrange board columns with a WIP limit and archive a project — its tasks are kept in full.

Support

A helpdesk for email, widget, live chat and callbacks — with macros, deadlines in business hours, a knowledge base and reporting.

19 featuresModule page →

Handling requests

  • Every email becomes a ticket

Requests to your support mailbox land in the inbox automatically — with subject, sender, priority and status.

  • Work a ticket

Read the history, reply by email, leave internal notes for the team, change status, assign — all in one view.

  • Images and files in the thread

Screenshots and documents sent by the contact sit under the message they came with — images as an instant preview, other files as a line to download.

  • Macros with placeholders

One click inserts a ready-made reply with first name, ticket number and more, and sets status, priority or “Assign to me” along with it. If a value is missing, the hub says so before sending — or a stored fallback text steps in.

  • Custom ticket fields

Extra details such as a contract number or system type on every ticket, required if you like. With Securo CRM you pick customer and contact directly by name.

  • Turn a ticket into a task

“Create task” turns the request into a linked task with title and text pre-filled; with Securo AI, the AI suggests matching open tasks. With Securo Support Pro and Securo Tasks Pro.

Channels & availability

  • Email, widget & chat

Requests arrive by email, through the widget, via live chat or as a callback request — and still converge in one inbox.

  • Real-time live chat

For a chat request your reply appears instantly in the visitor's chat window — no email involved. Internal notes stay within the team.

  • Callback & hotline

In the widget, people leave their phone number and when they can be reached; this becomes a ticket marked “Callback”. Alternatively the widget only shows your hotline number with its availability.

Customer self-service

  • Knowledge base

Short guides and answers to common questions — maintained in one place, published in several.

  • Widget for your website

Published articles appear in the widget on your site — many customers help themselves before a ticket exists. You set greeting, accent colour and allowed websites; requests can be followed without a customer account.

AI assistance

  • AI reply drafts

The AI proposes an answer from your own material. If the answer is not in that material it invents nothing and marks the gap instead. With Securo Support Pro and Securo AI.

  • AI triage of new requests

The AI suggests topic, priority, sentiment and a suitable team and sums up the request briefly. Nothing is changed automatically — you adopt what fits.

  • AI summary

A long thread boiled down to a few sentences — for instance when handing over to a colleague who has not seen the case before.

  • Knowledge article from a ticket

A resolved request becomes the draft of a knowledge base article that you refine and publish. A good answer turns into self-service for everyone.

Quality & steering

  • Deadlines in business hours

First response and resolution only count during your business hours — per profile with time zone, a window per weekday and holidays. Deadline rules with Securo Support Pro.

  • Satisfaction survey

Once a ticket is resolved, the contact receives a short survey and rates with one click straight from the email. Reporting shows the average, the distribution and the latest comments.

  • Reporting & CSV export

New and resolved tickets, time to first reply and to resolution and how often deadlines were met — plus the period's tickets as a CSV file. With Securo Support Pro.

  • Mailbox, signature & AI switch

Connect the mailbox via IMAP/SMTP or Microsoft 365 and check it with “Test connection”, store a signature, switch the AI on or off. A reply that could not be delivered is marked in the thread.

Features by module

Platform & automation

Functions that sit above every module and tie them together.

Automations

Recurring processes as workflows — triggered by module events, a schedule, a button or from outside.

18 featuresModule page →

Building flows

  • Workflow list

Every automation in your organisation, with a clear view of which are active and which recently failed. Up to five active workflows with the Starter licence, as many as you like with Securo Automation Pro.

  • Workflow editor

One trigger and one action per workflow: pick, fill in, test, activate. Recipients are found by name, module actions are filled in as a form — assembled by clicking rather than programming.

  • Module events as triggers

A new employee, a deal won, a contract created, a working-time breach — the hub itself gives the starting signal. Workflows can also be started at the push of a button.

  • Schedule

Every few minutes, hourly, daily, weekly or monthly — at the chosen time in your time zone, across daylight saving changes too. “Next runs” shows in advance when it will run.

  • Actions across modules

Notify one person, several people or the whole organisation, run a module action such as “Create customer” or “Create letter from template”, wait up to seven days or start another workflow.

  • Loop for each element

Run an action for every element of a list from the event — up to 1,000 runs, up to ten at the same time. With “Continue on errors” the loop finishes despite individual failures.

  • AI request as a step

An instruction to a model your organisation has approved — optionally with the answer as structured data; if it cannot be read, the step fails visibly. With Securo AI.

  • Values from the trigger

With “Insert variable” you take values from the event — such as a new employee's first name — into title, text or details. During the run the real value appears there.

  • Ready-made templates

HR onboarding, new CRM customer, critical incident, working-time breach — adopt, adjust in the editor, activate.

Connecting

  • Start from outside

Trigger workflows from a third-party system — secured by signature or token, with a secret you can renew at any time, and pausable when needed. With Securo Automation Pro.

  • Request to another system

Inside a loop, a workflow calls an external system — with address, credentials, additional headers, values sent and a time limit. Secrets are masked in the run.

  • Encrypted credentials

Tokens for external systems are stored encrypted; the plain text is never shown again. Renewing swaps only the secret, and workflows keep running unchanged. With Securo Automation Pro.

Operating

  • Runs

Every execution, newest first — you see immediately what worked and what did not.

  • Step-by-step inspector

Each step with status, duration, input and result. A run can be repeated with the same workflow version; if that could, say, send a message twice, the hub asks first.

  • Compare runs

Two runs side by side — ideal for checking a repeat run against the original.

  • Fixed versions

Every save stores a new, unchangeable version of the workflow. Running executions keep their version — steps never change in the middle of a run.

Control

  • Governance

When run details are pseudonymised, whether the evidence chain is intact and which anomalies were flagged.

  • Set the limits

Which module actions are allowed, how many runs per hour are permitted and how long history is kept.

AI assistant

Answers questions about the hub — and with Securo AI proposes shifts, master data, quotes and invoices that you confirm with one click.

17 featuresModule page →

Questions & guidance

  • Assistant in the header

Ask a question about the hub and get an answer — without leaving the page you are working on. The assistant knows which page is open and prefers the help that fits it.

  • Asking questions or Securo AI

“Asking questions” is included for everyone: the assistant explains how things work and sees none of your organisation’s data. With the Securo AI licence it works with your data — for example “Who is on night shift tomorrow?”.

  • Answers with a source

The assistant draws on the built-in help and links the relevant page rather than improvising. It only cites help pages that actually exist.

  • Takes you to the right place

Ask where something is and it gives you the menu path plus a button that takes you straight there. If you lack a permission, it tells you which one; for a bug or a wish it opens the way to Securo support.

  • A quota per person

Every person has their own monthly quota — heavy users take nothing away from their colleagues. The chat shows the remaining share as a percentage; with Securo AI it is considerably larger.

Working with Securo AI

  • Nothing is written until you confirm

If the assistant wants to create or change something, it puts every item to you as a separate card — showing the values that will actually be stored. Until you press “Run it”, nothing has happened.

  • Asks instead of guessing

If a name matches two records or a date is missing, the assistant stops and asks — with suggested answers as buttons. Until you reply, it does not continue and enters nothing.

  • Proposes shifts, locations and customers

From an order it proposes shifts — as drafts that employees cannot see yet — plus missing locations, roles, customers and tasks, and it assigns employees. Every item waits for your click.

  • Personnel data from a spreadsheet

When you move over from another program, it takes employees, absences, qualifications and weekly hours from a spreadsheet — many people in one proposal. No Securo accounts or invitations are created.

  • Drafts quotes and invoices

Invoice, down-payment, pro forma and credit note drafts as well as quotes: create, change, clone, record acceptance, convert into an invoice. Prices come from the service catalogue; finalising and sending stay with you.

Tables & larger tasks

  • Attach a table instead of retyping

With Securo AI, hand over an order or duty list as a CSV or Excel file. If a workbook has several sheets, you tick which ones it may read; fill colours in a duty roster are read too.

  • Tables in the answer

When the assistant sums something up as a table, the chat shows the first rows. “Open table” brings all rows into a wide view that you can sort by clicking a column header.

  • Larger tasks in the background

Evaluating an Excel file with several sheets can take minutes. The chat shows what is happening (“Step 4 · 1:12”); you can close it — the answer is then waiting under “Recent conversations”.

Quota & control

  • Usage as a percentage

With the matching permission you see active users, average usage and exhausted quotas — as percentages rather than amounts, because Securo bears the cost of the AI.

  • Model choice per person

With Securo AI, every person picks their own model in the chat. Next to it they see how much faster it uses up the quota than the default — a factor such as “~3× usage”, not an amount.

  • Can do exactly what you can

Every access runs under your sign-in: if you lack a permission, so does the assistant, and it tells you which one. Modules without a licence do not appear in its answers at all.

  • Log & transparency

Every change it carries out is logged under your name, just like a manual entry; the AI log is deleted after 90 days. A notice in the chat states openly that Securo-Net analyses the chat for support and improvements.

Integrations

Connect external services — Stripe, Microsoft 365 and data migration from the planner.

11 featuresModule page →

For the organisation

  • Services as tiles

Every external service with its connection status — you see at a glance what is connected and what is stuck.

  • Set up Stripe in the hub

Company, bank details and evidence step by step — without a detour to another website and without an existing account. Afterwards you accept card payments for your invoices.

  • Microsoft 365 for the organisation

An administrator consents once with “Consent at Microsoft” — it takes about a minute, and Securo detects your Microsoft tenant on its own. After that, every person connects their own account.

  • Allow or block uses

For every use — Outlook calendars, telephony, e-mail in the CRM — you decide whether it is allowed in your organisation. If you withdraw one, Securo removes the calendars it created in Outlook for it.

  • Connected people at a glance

How many people are connected and how many show “Reconnect needed”, plus the list with person, Microsoft account and status. If an account is attached to the wrong person, release it with “Disconnect”.

For each person

  • Your own Microsoft 365 account

Every person connects their work account once in their personal settings and switches each use on or off there. Whatever Securo created in Outlook is removed again by “Disconnect”.

  • Tasks, shifts, absences in Outlook

Tasks with a due date, your own published shifts and absences — without the reason — appear in separate Outlook calendars “Securo – …”. Move a task there and its due date changes in the hub.

  • Outlook events taken into account

Outlook events show up in the task calendar, and appointment booking does not offer times that are busy in your calendar; booked appointments block the time in Outlook. Securo only reads the events.

  • Telephony and e-mail in the CRM

The same connection carries telephony and “E-mail in the CRM”: e-mails to customers go out from your own mailbox, and replies appear with the customer in the CRM. Securo does not read other e-mails.

  • Sign in with Microsoft

Separately from the 365 connection, you link your Microsoft account for signing in to Securo — its own step on its own card. Password and second sign-in step stay active.

Data migration

  • Data migration from the planner

Bring customers, sites, employees, qualifications and subcontractors over from Securo Protect Planer — with a dry run that shows what will happen. The documents of the personnel files follow afterwards.

Telephony

Microsoft Teams inside the hub: recognise callers, keep a call list — and with Securo Telefonie · Pro, take calls right in the browser.

12 featuresModule page →

Setup

  • Microsoft Teams connection

Telephony builds on your existing Teams calling plan — no second phone system. Seeing calls, recognising callers and the call list are included without an extra licence.

  • Consent once, done

Your IT consents once under Integrations › Microsoft 365 with “Consent at Microsoft”; Securo detects your Microsoft tenant on its own. Telephony is then enabled at Microsoft there with a single click.

Day to day

  • Calls in the hub

Incoming calls appear as a card in the hub — you know who is calling before you pick up. Whether the card appears is each person’s own choice, with a switch of their own.

  • Caller recognition

Known numbers are shown with a name: customers, contacts, employees, subcontractors and the contacts of a location — including its escalation chain. You decide which sources count.

  • What the call is likely about

When an employee calls, the card shows their current or next shift and location — for example “On duty 18:00–06:00 · Werk Nord”. “I’m sick” can be handled without opening the schedule.

  • Straight from the call card

From the card you open the caller’s profile, create a callback as a task, create an unknown number as a customer or record an employee’s sick leave — depending on your modules and permissions.

  • Personal call log

Incoming, outgoing and missed calls — optional and visible only to you. Only key data is stored, never call content; missed calls can be followed up directly.

  • A call as a CRM activity

Save a call with a recognised customer or contact to the customer record with “Save as activity” — after hanging up, with the call duration already filled in. With Securo CRM.

Calling in the hub

  • Take calls in the browser

With a seat of the Securo Telefonie · Pro licence you call right in the hub: answer, decline, hold, mute; a second call puts the current one on hold. Every call still rings in Teams as well.

  • Dial pad and call buttons

Use “Make a call” to dial any number or call back from your call list; call buttons also sit next to the numbers of customers, contacts and employees. Outgoing calls need a Teams phone licence on the Microsoft account.

  • Transfer and call notes

During a call you transfer it to another number or jot down a call note — on hanging up it is carried over into the task or the CRM activity.

  • Device check and diagnosis

Choose microphone and speaker, test the microphone, switch on the ringtone, test the connection. If something is off, the connection diagnosis names the likely cause — such as an ad blocker — and the next step.

Messages

Internal direct messages and groups with file attachments — no separate licence needed.

Internal communication

  • Internal inbox

Direct messages to individuals in your organisation — separate from email and from notifications. A new message also shows up as a push and in the bell.

  • Replying always works

Whoever is written to can always reply in the direct conversation — even without a permission to write of their own. Only those your organisation allows can start a new conversation.

  • Attach files

Send PDFs, photos, Office files or emails along: up to 10 files per message, up to 25 MB each. Images appear as a preview; on a phone, the share sheet opens for saving.

  • Formatted text

Messages support simple formatting — bold, italics, links and lists from a toolbar, without writing code. “Preview” shows the result before you send.

  • Archive and delete for me

“Archive” tidies up the inbox; if someone writes again, the conversation comes back on its own. “Delete for me” removes the history only for you — the others keep theirs.

  • Included at no extra cost

Messages need no separate licence and are available to every organisation.

Groups

  • Groups

Several members in one conversation — you create them yourself, for instance for a team, a shift or a location. Whoever creates the group becomes its owner.

  • Who can write?

Chosen per group: “All members can write” or “Only group admins can write” — for announcement groups where everyone reads along but not everyone replies.

  • Organisation-wide groups

A group with every member of the organisation — whoever joins later is in automatically and sees the history so far. Important conversations go to the top for everyone with “Pin for everyone”.

  • Roles within a group

Owner, admin, member: admins rename the group and add or remove members. Every member except the owner can leave a group again — organisation-wide groups excepted.

Notifications

Shift reminders, approvals and alarms — via push, in-app and email, configurable per notification.

Reachability

  • Everything in one place

Shift reminders, approvals, alarms and module notices — in the bell at the top and in a complete list.

  • Push, in-app and email

Three channels, so urgent things arrive and minor things do not interrupt.

  • Tap to get there

Tapping the push message opens the matching place in the app — the assigned shift, for instance — and marks the notification as read, even if the app was closed before.

  • Emergencies always arrive

Emergency messages such as SOS alarms are marked as critical: they can be neither switched off nor made quieter, and they reach you even if you have turned push off.

Working through

  • Unread by type

200 times “qualification check due”? One tile per type shows how many are unread and marks exactly that type as read — every other notification stays open.

  • Search, filter, read selectively

The complete list filters by text, type and period. With a filter set, “Mark matches as read” only reads what matches; single rows can be selected with checkboxes.

Settings

  • Configurable per notification

Every user decides for each individual notification whether and on which channel they receive it.

  • Signal per notification

How noticeably a push message announces itself is chosen per notification: “Important” with sound and right away, “Normal” with sound, or “Silent” without sound or vibration.

  • Define who gets notified

Who receives a message is the organisation’s call — by role, to the location management or to named people: invoice alerts to accounting, a deadline at a location to the local management. The channel stays each person’s choice.

  • No message goes nowhere

If a message would reach nobody — no role assigned, no location management set — it goes to the Owner and Administrator. Personal messages such as a payslip are exempt.

Forum

Industry-wide exchange between companies — with a marketplace for staff, jobs, subcontractors and equipment.

12 featuresModule page →

Exchange between companies

  • Forums by section

The “Overview” lists the sections with their forums and, on the right, the “Latest topics”. A “New” label on a forum and topics in bold show what you have not read yet — also available as the “Forum — what's new” tile on your start page.

  • Start a discussion or question

A topic gets a title, formatted text, up to eight tags and up to ten attachments — images and PDF. When uploading, the forum strips image data such as the location where a photo was taken.

  • Reply, react, mark solved

Reply, quote and react with “Like”, “Thanks” or “Helpful”. On a question, the person who asked marks the best reply with “Mark as solution” — the topic then shows “Solved”.

  • Search across all forums

Search covers titles and posts in every forum your company may read, with results as you type — narrowed by forum and type. Clicking a tag such as “#objektschutz” lists every topic carrying it.

  • Follow & weekly summary

Follow single topics or whole forums and hear about new replies and topics by push, in-app or email. You follow your own topics automatically; on Mondays an optional weekly summary lists what is new.

Marketplace & contacts

  • Marketplace for staff & jobs

In the “Marktplatz” forum, companies offer and look for staff, jobs, subcontractors and equipment. Topics and replies there always show the company name — so you know who you are dealing with.

  • Messages to other companies

“Send message” on a post starts a private conversation with the person behind it, with subject and topic reference filled in. Whoever is contacted can always reply — attachments included.

  • Company directory

Find companies by name, service and federal state, verified ones only if you like. Only companies that listed themselves appear — the switch “Show in the company directory” starts out off.

  • Your company profile

You maintain description, website, contact, regions and services yourself; name and logo come from your organisation's master data. The profile also lists the topics your company wrote under its name.

Visibility & rules

  • With or without company name

Your company decides whether posts show its name: “Always show”, “Decide per post” or “Never show”. Without it, posts read “Member of a verified company” — and such posts never appear on the company profile.

  • Access per forum

Which forums your company may read and where it may write is set per forum — for instance all companies or verified ones only. Where your company may only read, a lock shows “Read only” and the reason appears when you open it.

  • Forum rules & moderation

Before first use, each person accepts the forum rules. Posts, messages and company profiles can be reported; the Securo team reviews them, decides with a stated reason, and the person reported never learns by whom.
